The foundation first

Organized. Connected. Ready.

01—07

Our setup commitments

Clear naming. No account clutter.

Permissions with purpose.

Optional automations, not extra noise.

The BookRight blueprint

Every connection starts with a solid foundation.

One repeatable setup sequence. Seven checkpoints to bring your sub-account into shape before connecting Retell.

New client or master account?

Use the same blueprint. Tailor the hours, services and follow-up to the business.

01

A sub-account with a clear identity

Name the account for the client and business. Set the correct time zone so appointments land where they should.

02

A calendar built around real working hours

Create BookRight Bookings or use your existing calendar. Choose appointment duration, working hours and buffer times. Online booking is optional.

03

A pipeline you can actually follow

New Lead → Appointment Booked → Showed / Completed → No-Show → Closed Won or Closed Lost. Keep the journey visible from first contact to outcome.

04

Tags that tell the story

BookRight-AI, Appointment-Booked, Missed-Call-Recovered and Transferred-to-Human make each interaction easier to identify.

05

Useful context, without the clutter

Optional custom fields capture preferred contact method, service type, estimated job value and source: AI Voice or Missed Call Text.

06

The bridge to Retell

Create a private integration named Retell AI. Configure the required contact, opportunity, calendar and custom-field permissions, then securely retain the token and Location ID.

07

Follow-up that fits your operation

Optional workflows send booking confirmations by SMS or email, notify the owner when Appointment-Booked is applied, and support a weekly summary. Reports can also run through Make.

Retell integration: exact permission scopes
  • contacts.readonly + contacts.write
  • opportunities.readonly + opportunities.write
  • calendars.readonly + calendars/events.readonly + calendars/events.write
  • locations/customFields.readonly

Find these in Settings → Private Integrations. Keep the token private; do not share it through a public form.
